An RFQ is a request for quotation: an invitation to price a defined scope on stated terms. In Australian construction it often goes to trade contractors or suppliers, though the initials can mean “request for qualifications” in other procurement contexts. Spell out the meaning in the document.
What should be sent with an RFQ?
Include current drawings and specifications, scope boundaries, site conditions, programme, access constraints, required breakdown, exclusions and assumptions schedule, commercial terms and a clear deadline. Identify the contact for questions and how changes will be issued. A bidder should know what to price and how to show an alternative.
Why do apparently similar quotes differ?
One subcontractor may include cranage, testing and certification while another assumes the head contractor supplies them. The price also depends on document revision, quantities, working hours and site access. Ask bidders to list departures rather than hide assumptions inside a lump sum.
What happens after responses arrive?
Build a comparison against the same scope and conditions, then seek written clarification of differences. Evaluate capability and programme alongside price. Carry the accepted scope, qualifications and revisions into the order or subcontract; otherwise the clean comparison may be lost at award.
An RFQ for a live building should say who supplies temporary protection and permits, whether disruptive work is after hours and who makes good adjoining finishes. If those items are left implicit, returned prices may look comparable while assuming different construction methods.
The strongest RFQ makes later decisions easy to audit. See our guide to comparing quotes or ask Team Vanguard about a tender package.
